Step 1: assemble your evidence inventory
Collect your education details, a dated list of project work and training completion records. Use your own secure storage; the purpose is to verify accuracy, not to send every document to a training company. Note where evidence is missing and resolve the uncertainty before turning it into an application claim.
Choose a route using the eligibility guide. Create a calendar view of the relevant project months and remove double counting. If the months are insufficient, stop and plan the experience gap rather than extending project dates to meet a target.
Step 2: describe projects separately
For each project, record the objective, period, role, responsibilities, deliverables and actual outcome. Distinguish your contribution from the team’s: ‘the company launched a service’ is context; ‘I coordinated acceptance criteria with operations and facilitated decisions on release risks’ explains your work, if true.
Do not paste a generic process-group paragraph into every project. Two projects can use similar methods while having different constraints and decisions. Use a private note beside each sentence to identify the record or person that could verify it.
- What was the defined objective and why was the initiative temporary?
- Which decisions or coordination responsibilities did you personally handle?
- What changed because of your work, and what evidence supports that statement?
- What was delivered, handed over, paused or cancelled?
Step 3: enter education and training accurately
Match qualification and provider names to your records. Record the applicable project-management learning rather than treating an entire mixed-topic program as eligible by default. If you are relying on active CAPM status or a qualification equivalence, follow the current PMI instructions for that route.
Check the date-sensitive live training rule before relying on a future course. Keep the training agreement, syllabus and completion evidence together. Application preparation and course enrolment can proceed in parallel, but do not describe unfinished instruction as completed.
Step 4: perform a consistency review before submitting
Read the entries as a reviewer who does not know your employer. Remove unexplained acronyms, job-description filler and claims about work you did not lead. Reconcile names, dates, descriptions and training records. Contact an appropriate potential verifier to check availability; do not coach anyone to confirm an inaccurate account.
Personally review the declarations and submit using your own PMI account. Save a copy of what you submitted. Follow the status and instructions in that account, including any audit request. A polished application is not guaranteed approval, and no adviser can promise that you will avoid an audit.
